Privacy Policy — FUTUREFORWARD

FUTUREFORWARD (a trade name; representative: Milutin Rajkovic; “we” or “us”) handles personal information obtained through this website (the “Site”) and our services appropriately, in compliance with Japan’s Act on the Protection of Personal Information (the “APPI”) and other applicable laws and guidelines, as set out below.

2. Personal information we collect

Information you enter in the contact form (name, email address, company name, country, area of interest and message)
Information you provide when corresponding with us by email or similar means (name, email address and any other information in your messages)
Information automatically recorded on our hosting provider’s servers when you access the Site (IP address, browser type, pages viewed, etc.)

3. Purposes of use

To answer your enquiries and contact you
To arrange meetings, propose and provide our services, and invoice
To operate, maintain and secure the Site
To meet our obligations under law

If we need to handle personal information beyond these purposes, we will obtain your consent in advance.

4. Provision to third parties

We will not provide personal information to third parties without your prior consent, except in the following cases:

Where required by law
Where necessary to protect a person’s life, body or property and it is difficult to obtain your consent
Where we need to cooperate with a national or local government body, or a party entrusted by one, in carrying out duties prescribed by law, and obtaining your consent would be likely to interfere with those duties
Where we entrust all or part of the handling of personal information to a service provider within the scope needed to achieve the purposes of use (section 5)

5. Entrustment to service providers

We may entrust the handling of personal information to outside service providers within the scope needed to achieve the purposes of use. In that case we select providers carefully and supervise them as necessary and appropriate. Our main provider at present is:

6. Provision to third parties in foreign countries

We may provide personal information to third parties in foreign countries, including the provider in section 5. In that case, in accordance with Article 28 of the APPI, we take one of the following measures:

Obtaining your consent in advance, after giving you the name of the destination country, information on that country’s personal information protection system, and the measures the recipient takes to protect personal information
Confirming that the recipient has the systems needed to continuously take measures equivalent to those required by the APPI, and regularly checking how those measures are carried out

Information sent through the contact form is stored on servers in a foreign country (currently the United States) managed by our provider. For information on each country’s personal information protection system, please refer to the materials published by Japan’s Personal Information Protection Commission.

7. Security measures

To prevent leakage, loss or damage of personal information and otherwise keep it secure, we take the following measures:

Organizational measures: we appoint a person responsible for handling personal information and check how it is handled.
Human measures: we make sure anyone handling personal information is aware of the points to observe.
Physical measures: we prevent theft or loss of devices, electronic media and documents containing personal information.
Technical measures: we prevent unauthorized access through access controls, multi-factor authentication, encrypted communications and similar means.
Understanding the external environment: when handling personal information in a foreign country, we take security measures based on an understanding of that country’s personal information protection system.

8. Requests for disclosure, correction, suspension of use, etc.

You may ask us to notify you of the purposes of use of retained personal data; to disclose it (including records of provision to third parties); to correct, add to or delete it; to stop using or erase it; and to stop providing it to third parties.

Please send requests to the contact point in section 10. After confirming that you are the person concerned or their representative, we will respond without delay in accordance with the law. If the law does not allow us to respond, we will explain why.

9. Cookies and similar technologies

The Site does not currently use cookies, analytics tools or tracking technologies for advertising. If we introduce them, we will update this policy and let you know.

11. Changes to this policy

We may revise this policy when laws change or as otherwise needed. The revised policy takes effect when it is posted on the Site.
